Last updated: August 2026. How Sanctuary handles personal data during the Gateshead pilot.

Who we are

Sanctuary Community Depot operates the Sanctuary platform during the Gateshead pilot, including Services, Marketplace and reuse, memberships, community projects and the parts of Dropzone that are explicitly published. Sanctuary is responsible for the personal data described on this page.

What we collect

  • Account information such as email, profile details and household relationships where required.
  • Service information such as addresses, job details, booking records and communications needed to fulfil a request.
  • Marketplace and reuse information such as listing details, images, reservations, custody and collection records.
  • Membership, Sanctuary Credit and transaction references needed to maintain account entitlements and financial records.
  • Security and technical logs needed to protect the platform and investigate abuse or failures.

Why we use it

We use personal data to provide the service you request, operate accounts and memberships, fulfil bookings and collections, maintain accurate ledgers, prevent fraud and abuse, protect users, improve the pilot and comply with legal obligations.

Children and safeguarding

Sanctuary does not publish private household addresses or precise child location trails. Child and household features must use age-appropriate and guardian-aware controls. Safeguarding information is restricted to authorised handling and may be escalated where there is a serious risk or legal duty to do so.

Sharing

We may share the minimum information necessary with providers that host, authenticate, process payments or help fulfil a service, and with authorities where required by law. Sanctuary does not sell personal data to advertisers.

Retention and security

Data is retained only for as long as needed for its operational, financial, safeguarding or legal purpose. Sanctuary uses role-limited access, server-side authority for money and SC, verified payment events and audit records for privileged actions.

Your rights

UK data protection rights may include access, correction, deletion, restriction and objection, subject to lawful exemptions. Use the Contact & Help page to make a privacy request. If a concern is not resolved, you can raise it with the Information Commissioner's Office.

Contact

Use Sanctuary's Contact & Help page for privacy, data-access or safeguarding enquiries. We do not publish an inbox or contact address unless it has been verified and is actively monitored.
